Manage media library assets

The Media Library is the shared place to upload and reuse images, videos, PDFs, audio files, and documents across pages, posts, emails, and other workspace tools.

What this guide helps you do

  • Upload new media assets.
  • Select existing media from the library.
  • Replace or reuse assets without losing track of the original file.

Before you start

  • Confirm the file is approved for public or internal use.
  • Check file type, file size, naming, and privacy requirements.
  • Blur or remove customer names, addresses, amounts, and private workspace details from screenshots.

Do it manually

  1. Open a media field from Website, Posts, Email, or another tool that supports Media Selector.
  2. Choose Upload to add a new file or Media Library to reuse an existing file.
  3. For uploads, drag the file into the uploader or choose it from your computer.
  4. For existing assets, select the file from the library list.
  5. Preview images and videos after inserting them.
  6. Rename, replace, or remove assets when they are outdated or no longer approved.

Review before saving or publishing

  • Confirm rights and permissions before using customer, staff, partner, or stock media.
  • Do not upload secrets, private customer exports, or unredacted financial data.
  • Check that videos are short enough and relevant to the page or campaign.

Common issues and fixes

  • If a media item does not appear, refresh the selector or upload it again with a supported file type.
  • If the wrong version appears, replace the asset or choose the newer file from Media Library.
  • If a video preview is slow, use a smaller compressed version for the page.
