Payment reminders should be timely, accurate, and respectful of customer context. Review invoice status and relationship notes before sending any reminder.

What this guide helps you do

  • Identify invoices that are safe candidates for reminders.
  • Prepare reminder copy with the correct portal link and amount.
  • Use AI to draft follow-up while keeping final send under review.

Before you start

  • The invoice should be sent and still unpaid or partially paid.
  • Check whether a teammate has already contacted the customer.
  • Confirm there is no dispute, refund, or credit note that changes the conversation.

Do it manually

  1. Open Money and choose Get Paid.
  2. Filter invoices by unpaid, overdue, or due soon.
  3. Open the invoice and confirm balance, due date, and portal link.
  4. Review customer history in Customer 360 when context matters.
  5. Draft or send the reminder according to your team process.
  6. Record a task or note so the next teammate knows what happened.

Ask Faster AI

  • Find overdue invoices that look safe to remind and draft polite reminder copy for review.
  • Draft a payment reminder for this invoice that includes the portal link but does not send it.
  • Review customer context before reminding this invoice and tell me if anything looks risky.

Review before saving, sending, paying, or refunding

  • Confirm the customer has not already paid or disputed the invoice.
  • Use the correct amount, due date, and portal link.
  • Avoid sending repeated reminders too close together unless your policy allows it.

Common issues and fixes

  • If reminders feel too aggressive, create an internal follow-up task instead.
  • If the customer portal link is missing, send or refresh the invoice first.
  • If a reminder went to the wrong customer, stop further reminders and add an internal note.

Connected workflows

Placeholder media

  • Screenshot placeholder: add an annotated screenshot of send payment reminders with customer names, amounts, account details, and private notes blurred.
  • Video placeholder: add a short walkthrough that starts from the Money workspace, shows the manual path, then shows the review step before anything is sent, paid, refunded, or published.

Related help

Use it in daily operations

  • Before closing the task, review the related Money record, customer record, owner, due date, and any follow-up message that should happen next.
  • If the workflow affects a real payment, keep the action in review until the amount, recipient, invoice, quote, or bill details are confirmed.
  • Use Faster AI to summarize the payment context and prepare a checklist, but approve sends, refunds, bill payments, and customer-facing messages manually.
